10 Essential Strategies for Successful Event Planning and Execution

Event planning

Planning an event and don’t know where to start? There are so many elements to take into consideration and plates you need to be spinning at the same time. So, we have provided 10 tips on Essential Strategies for Successful Event Planning and Execution.

1. Create a plan

This might sound obvious, but a concise and meticulous plan will help make sure you have a timeline, don’t miss any details out and so you can stick to a schedule!

2. Be organised

Make sure you plan early and know what targets you want to achieve. Whether you use a well-thought out excel spreadsheet or a board with handwritten sticky notes- get organised with how you work best!

3. Network

In a career where you have many different elements to work on, it’s helpful to establish and maintain relationships with companies and vendors, so you can have a variety of options to consider whilst planning an event.

4. Have a Plan B

You may even need a plan C or D. Backup plans shouldn’t be a last-minute thought. Things can go wrong so it’s best to know what to do if something doesn’t go quite right rather than scrounging for ideas last minute.

5. Build in time for last minute decisions or changes

When you’re planning an event it’s inevitable that you may have to make some changes, whether big or small. Although we cannot always plan for something to go awry, make sure you don’t panic, have time set aside for events like this and put on your problem-solving head.

6. Clear and effective communication

Make sure you have clear channels for communication with everyone from vendors, and clients to venue and company staff. Whatever channel you choose to communicate with, make sure everyone knows how to reach you and always encourage open communication.

7. Use marketing tools effectively

Creating an effective marketing strategy should automatically fall under your event planning as you need to consider it throughout the whole planning stage, particularly with regards to time scales and budget. Think about what ways would be most effective? Digital, offline, print and social media can all be if used in the correct way.

8. Make sure to stick to the events schedule

It’s easy to get caught up in the excitement of hosting an event and forget about scheduling, but make sure that everything runs smoothly. Keep in mind that although things may overrun it’s best to keep the event moving so nothing is missed out and the overall event doesn’t over run which could be very costly!

9. Have fun

Planning an event can become stressful but don’t forget to make time for fun! It’s also important that you schedule breaks and check in with yourself whilst planning so you don’t get overwhelmed.

10. Ask for feedback

This will allow you to evaluate what went well and what aspects of the event could use improvement. Seek feedback from your staff, vendors, guests and the client.
