How to host a COVID safe in-person event in 2021 | Safety measures

With in-person events hopefully going ahead in 2021, it’s important to ensure that safety measures are implemented and you’re following all the guidelines in place. The number one priority is to ensure all of the attendees are in a safe and hygienic environment. Make sure you follow and implement these important safety measures for your event to be a success!

 1. Social Distancing

How do I social distance in an event? In order to have enough room in your event, make sure you host your event in a bigger venue than usual. This will allow plenty of space for your guests to social distance. Outdoor events are the way forward during COVID. It is much safer as you have fresh air circulating throughout, you can social distance, and you can host a bigger number of guests due to the vast amount of space available.

2. Temperature Stations

On arrival, have members of staff checking everyone’s temperature. This way, you can clearly monitor who’s coming in and identify if anybody has a higher temperature than normal. Highlight on invitations that if anyone has a high temperature or any symptoms of COVID to not attend as it’s putting others at risk.

3. Signs and Announcements

Make sure you have signs up around the event promoting everyday COVID measures and ways to stop the spread of germs by washing hands and wearing masks. In addition to this, make regular announcements throughout the event with COVID safety measures requirements. Take into consideration that people may have limited vision, blind, or deaf therefore find alternatives to ensure the message gets across. E.g. Large print, braille, Sign Language. You want to make sure you’re compiling to all the safety measures and going above and beyond.

4. Cleanliness

This a huge factor in hosting a safe event. Staff should be cleaning and disinfecting toilets, frequently touched surfaces, and shared objects regularlyPut a plan in place to ensure cleaning is done and checked often throughout the event. Limit the number of people who can use the toilets at the time. This will allow you to monitor how many people are in there and keep it as clean as possible. Stock toilets with enough supplies for washing hands and drying.

Sanitise, sanitise, sanitise! As the world has been turned upside down due to covid, it’s imperative to keep sanitising whenever you’re out and about. Allow plenty of sanitising stations around the event to ensure your guests can keep clean and hygienic to reduce the spread of germs.

5. Layout

A lot more time and consideration should go into the layout of your event. You want to make sure there’s plenty of space between all chairs and tables as all guests must be able to social distance. Create physical barriers of where people can’t go and use tape to lay out a path of where guests should follow to navigate around the event. You need a one-way system in place to help keep the event organised and safe.
